What is AI Assistant?
RecordPoint's AI Assistant is RecordPoint’s new large language model interface, designed to provide a natural language way to interact with your records. Whether you're searching for information, reviewing classifications, or analyzing signaled data, AI Assistant makes querying your records easier than ever.
If your organization has RecordPoint’s AI Governance product, AI Assistant becomes even more powerful—it can function as a generative pre-trained transformer (GPT) specifically for your AI Governance projects. This allows you to leverage AI capabilities without needing to deploy Microsoft Copilot or ChatGPT Enterprise.
How to Access AI Assistant
You can access AI Assistant directly from the RecordPoint platform:
- Click on the AI Assistant icon in the interface.
- On your first access, an Azure administrator must authorize AI Assistant in your tenant to enable its functionality.
Using AI Assistant
Once inside the AI Assistant interface, you can:
- Search and query records using natural language.
- Retrieve classification details on stored documents.
- Analyze signaled information within your RecordPoint environment.
Today, AI Assistant capabilities are limited as we carefully monitor usage patterns to improve its functionality. We are continuously enhancing its abilities based on user feedback.
What does AI Assistant Know Today?
The AI Assistant can help users understand how information is organized and classified within your records management system. Here’s how to interact with it effectively:
Record Categories
You can ask the AI Assistant which category should be used for a specific type of content. This helps ensure consistent classification across your records.
Example:
“What category do we use for records about executive correspondence?”
Avoid questions like:
“How many records are in category X?”
Category counts are addressed in the next section.
Record Counts
To retrieve counts of specific record types, the AI Assistant can answer the following kinds of questions:

Total Records
“How many total records are in the system?”

ROT Records (Redundant, Obsolete, or Trivial)
“How many ROT records have been identified?”

PCI Records (Payment Card Industry-related data)
“How many records contain PCI data?”

Uncategorized Records
“How many records are not yet categorized?”
These queries are useful for audits, cleanup efforts, and compliance reviews.
Integrating AI Assistant with AI Governance
If your organization has AI Governance, AI Assistant can be connected to your governance projects through the Portals area in RecordPoint.
With this integration, you can:
- Interact with a well-governed subset of your data
- Ensure sensitive and regulated data is filtered and protected
- Apply security controls automatically to every query
