Product Update: Shared Saved Searches

We’re excited to introduce the new Shared Saved Searches feature, where the saved search to filter records can be shared with other users in the same organization. This is particularly important where a user wants to share the records found from a search criteria with other users.

Customers will begin seeing this roll out to their tenants starting Friday, August 15th, with a phased deployment to all customers to follow.

Here’s what’s new: 

  • Share a saved search: A user can share their saved searches for other users to use.

  • Unshare a saved search: A user can unshare their saved searches to make them unavailable for other users to use.

  • Can use another user’s saved search: A user can use a saved search shared with them by another user, but they cannot modify, delete nor reshare it.

  • Copy another user’s saved search: A user can take a copy of a saved search shared with them by another user, then modify their copy.

  • View a separate list for saved searches created by you and others: A user can distinguish saved searches they created versus the ones shared with them.

This feature is only available to users who have the permissions to share saved searches.

The records found by a saved search owned by another user still restricts what records are found based on the user’s Attribute-Based Access Control permissions for their user profile.

The Shared Saved Searches feature enables users to collaborate more effectively by sharing search results within their organization, while maintaining security by ensuring that only records permitted by each user’s security profile are visible.
