The AI Submission Form has been redesigned to make registering AI systems faster, clearer, and more intuitive. The updated experience guides users through only the information that’s relevant to their AI system, reducing cognitive load while improving accuracy and consistency across submissions.

This streamlined approach applies to both Admin AI submissions and the AI Public Submission Form used by staff.

Purpose

The simplified AI Submission Form uses progressive disclosure and context-aware form design to guide users step by step through the submission process. Instead of presenting all possible fields at once, the form dynamically adapts based on earlier selections, helping users focus on what matters for their specific AI system.

This ensures:

  • Faster completion with fewer unnecessary fields

  • More accurate AI classification and metadata

  • A clearer review experience for administrators

 

 

What’s Changed

Feature 1 – Progressive Disclosure Framework


The form now reveals fields incrementally based on prior selections. As users choose the AI source type and classification, only the relevant follow-up questions appear.

This progressive disclosure approach:

  • Reduces form complexity

  • Prevents irrelevant questions from appearing

  • Helps users make confident, informed selections

Feature 2 – Intelligent Classification Flow


In Step 1, users select whether the AI system is Internally Developed or Third-Party. Based on that choice, the system automatically presents the appropriate AI classifications.

This context-driven logic ensures:

  • Users are only shown valid classification options

  • AI systems are categorized consistently

  • Less manual interpretation is required during review

(Classification options adapt dynamically and are not shown all at once.)

Feature 3 – Clear Separation of Business and Technical Information

The form has been reorganized into two logical sections:

  • Business Usage & Context
    Focuses on purpose, users, and operational impact

  • Technical & Governance Details
    Covers AI architecture, data usage, risk, and governance considerations

This information hierarchy makes the form easier to scan, complete, and review—especially for cross-functional stakeholders.

Feature 4 – Improved AI Public Submission Review Experience

The same simplification principles are applied to the AI Public Submission Form used by staff. Submitted AI requests now surface information in a cleaner, more structured layout for administrators.

This refinement:

  • Improves readability during admin review

  • Highlights key classification and usage details

  • Reduces back-and-forth clarification
