Role Required
To Edit Connector Details you need to be assigned to the Application Administrator role in Records365.
Records Managers have read-only access to the Connector Details page.
Note: to Link your SharePoint Online account you need to be an Azure AD Global Administrator.
Add Connector
Click on the Settings icon in the top right hand corner of RecordPoint.
Click on Add Connector and select the SharePoint Online Connector in the Gallery.
Click Add.
After creating the SharePoint Online connector instance you will be redirected to the Connector Details page.
Authorizing the Connector
Now that the connector instance has been created, we need to complete the authorization for the Connector to manage your SharePoint Online tenancy.
Once you are in the SharePoint Online Connector Details page, select Link Account to connect RecordPoint to your SharePoint Online tenancy.
You will be directed to a page where Microsoft will prompt you to log in. Here, enter your Azure AD Global Administrator credentials, and then click Accept to log in. Depending on the configuration of your tenant, you will receive one of the following;
Manage Sites
select the required Ingestion Mode
Use Include sites to add the SharePoint sites that you want the connector to ingest.
Use Exclude sites to add SharePoint sites that should not be ingested.
Enter the root site URL for each site. For example:
https://contoso.sharepoint.com/sites/marketing, not a page URL such ashttps://contoso.sharepoint.com/sites/marketing/sitepages/home.aspx.
Please ensure that all sites added to the Include sites or Exclude sites lists are trimmed of white spaces.
Manage List Templates
select the required Ingestion Mode
This setting controls ingestion by including or excluding lists whose template matches a specified pattern.
Use Add for inclusion to add template patterns that should be ingested.
Use Add for exclusion to add template patterns that should not be ingested.
For example, adding genericList includes or excludes SharePoint lists that use the Generic List template, depending on the selected ingestion mode.
Manage Content Types
select the required Ingestion Mode
This setting is for SharePoint content types, not file extensions.
Enter SharePoint content type names or content type IDs.
Do not enter file extensions such as
.docxor.pdf.
Valid examples include:

Versioning Level
Major Only – To manage major versions only. Major versions are identified by whole numbers, such as
5.0, orMinor and Major – To manage both minor and major versions. Minor versions are identified by decimal numbers, such as
5.1.
Please note that regardless of the Versioning Level set, the SharePoint Online (V2) Connector requires versioning to be set on Document Libraries to be managed.
Aggregation Level
List or Top Most Folder – To use SharePoint Online Lists, or the top-most Folder within a List, as the containers for your records. Document Libraries are treated as Lists, and Document Sets as Folders.
The aggregation level should be selected in consultation with the Records Management function of your organization.
Once all the settings have been updated click Save.
A success message will appear once the connector is added successfully.
Connectors are Disabled by default. This means no content will be submitted from the connector until the connector is Enabled. Before enabling a Connector, ensure that all rules have been set up first otherwise your records will be uncategorized.
Once you are ready to begin managing records from this connector in Records365, click Enable.
Your SharePoint Online connector is now enabled and submitting content to RecordPoint for management.
