Microsoft Teams

Role Required
To Edit Connector Details you need to be assigned to the Application Administrator role in Records365.
Records Managers have read-only access to the Connector Details page.

  1. Click on the Settings icon connectors-settings-cog.png in the top right-hand corner of Records365.
  2. Click on the Microsoft Teams tile in the connector gallery.
  3. Select the Default Ingestion Mode that you wish to manage in Microsoft Teams.
    • Ingest all Teams and Channels except those specified: Whitelist by default with all the channels inside of your Microsoft Teams environment being managed except those added beneath in Manage Teams and Channels.
    • Ingest only specified Teams and Channels: Blacklist by default with only explicitly added Teams and Channels being managed as added in Manage Teams and Channels section.mceclip3.png
  4. Select the Teams and/or Channels that you wish to manage or exclude in Microsoft Teams, as determined by the Default Ingestion Mode setting.
    • Team: An aggregated grouping of all child channels.
    • Channel: An individual channel.
  5. Click Add to include the link to a Team or Channel
    • To get the link for a Microsoft Team's Team or Channel:
      1. Go into Microsoft Teams
      2. Navigate to the Team or Channel
      3. Click the three dots
      4. Click "Get Link to Team" or "Get Link to Channel"mceclip1.png
    • Note: if it is the first time a Microsoft Team's Team is used, you will be required to include the Team Name when adding the Team or Channel mceclip0.png
  6. Repeat for all required Teams and Channelsmceclip2.png
  7. Select Default Aggregation Level:
    1. Channel - To use Microsoft Team's Channels as containers for your records, or
    2. Team - To use Microsoft Team's Teams as containers for your records.
  8. Select Messages To Submit:mceclip3.png
    1. Only New Messages - To only ingest all new and updated message threads as records; or
    2. Last Month - To ingest New Messages and all threads last created / updated within the last month; or
    3. Last Six Months - To ingest New Messages and all threads last created / updated within the last 6 months; or
    4. All Messages - To ingest all the messages defined in the Teams and/or Channels both current and future.
  9. Click Save to save the changes made to the Microsoft Team's Connector.
  10. Click Enable to make the connector active.
