Public AI Submissions & Feedback

The Public AI Submissions Form enables individuals across your organization—especially those who are not logged into RexCommand—to submit new AI solutions or provide feedback on existing ones. This ensures broader participation in AI governance, even from employees who do not have direct platform access.

Purpose

The submission form is designed to make it easy for non-technical, distributed, or non-logged-in users to contribute to your organization's AI governance efforts by:

  • Proposing AI systems for inclusion in the inventory

  • Reporting issues or observations tied to specific AI tools in use

This is often the primary submission pathway for most employees in the organization.

Creating a Public Submission Form

To enable submissions, a user with permission must create a submission token.

  1. Navigate to the Public AI Submission Forms tab

  2. Click + Create Token

  3. Set the token’s expiration in days (e.g., 7, 30, 90)

  4. Click Create Token to generate a public-facing submission URL

  5. Share the link internally with staff who need to submit AI or feedback

Each token provides a secure, time-limited entry point for accessing the form.

Using the Submission Form

After opening the link, users will see four options:

Approved AI Solutions

Shows the current AI solutions approved and in use.

Approved Datasets

Shows the current Datasets approved and in use.

Submit a New AI Solution

Allows users to register an AI system by entering:

  • Name, purpose, and intended use

  • Owner, platform, and lifecycle stage

  • Risk tier and technical attributes (e.g., open source, UDA)

  • Contact information (optional)

These submissions can be reviewed and added to the AI inventory.

Provide Feedback on an Existing AI

Enables users to submit concerns, observations, or suggestions for AI systems already in use:

  • Select the AI system

  • Identify themselves with name and email

  • Choose a feedback type (e.g., Security, Fairness, Hallucination)

  • Enter detailed comments

Feedback submitted this way appears in the Feedback Tab of the AI system record for review by governance stakeholders.

Public Submissions Tab

All submissions—both new AI solutions and feedback—received through a public form are stored in the Public Submissions tab. This area provides a centralized view for governance teams to:

  • Review submitted AI records before they are added to inventory

  • Evaluate and respond to feedback

  • Track who submitted each entry and when

  • Monitor form activity over time

This tab ensures that all external inputs into the governance process are visible and actionable in one place.

Notes

  • Public AI Submissions are designed for internal use by employees without RexCommand access

  • Tokens control who can access the form and for how long

  • Submissions remain in the Public Submissions tab until reviewed or accepted

  • You can create multiple tokens as needed for different groups or initiatives

  • Removing a token disables the link immediately
